Preferences overview

The Preferences window is where you customize StoryFolder for your workflow. Open it any time with Cmd+, (Mac) or Ctrl+, (Windows).

What's in Preferences?

Preferences is organized into three panes:

  • Notes & Data — customize the note fields you take on shots.
  • Updates — pick your release channel and check for updates.
  • Account — see your activation status and deactivate this machine.

Notes & Data pane

This is the most powerful pane. From here you can:

  • See every category and field that's currently defined.
  • Add a new category to group related fields.
  • Add custom fields of any type (text, dropdown, tag, checkbox).
  • Use AI field discovery to get suggestions for a project type.
  • Reorder fields and categories by dragging.
  • Toggle fields on / off without deleting them.

Updates pane

From here you can:

  • See your current StoryFolder version.
  • Check whether a new version is available.
  • Choose your release channel:
    • Beta (recommended) — stable, public releases.
    • Alpha — early access to unreleased features. Expect rough edges.
  • Manually trigger an update download.

Account pane

From here you can:

  • See the email and name on your StoryFolder account.
  • See which plan you're on and when it renews.
  • Deactivate this machine (sign out).
  • Reload license (refresh activation info from the server).

If your subscription state changes (you upgrade, renew, or cancel), clicking Reload license is the fastest way to pull the new state into the desktop app.

Are preferences synced across machines?

Custom fields, categories, and account info are synced — they live on your StoryFolder account.

UI preferences (column widths, last-used view mode, zoom level) are per-machine — they're stored in your local app settings, not synced.
